In this page, “we”, “us” and “FilmRental” mean [Legal entity name], operating as FilmRental at filmrental.ca. “You” means the person or company renting from us.
What this policy covers
This policy explains how we collect, use, share and protect personal information when you use filmrental.ca or rent from us.
We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and, for people in Quebec, Law 25 (the Act respecting the protection of personal information in the private sector).
Information we collect
We collect only what we need:
- contact details you give us in forms (name, email, phone, company)
- booking details (equipment, dates, city, delivery postal code)
- insurance documents (certificate of insurance) and, for drones, pilot certificate details
- payment-related details handled with our payment provider [name of provider]
- website usage data collected by analytics (see Cookies and analytics)
Why we use it
We use your information to answer your requests, prepare quotes, confirm bookings, deliver and collect equipment, handle payments and claims, meet legal duties, and improve the website.
We do not sell your personal information.
Cookies, analytics and browser storage
We use Google Analytics 4 to understand how the site is used (pages viewed, clicks on contact links, form submissions). It sets cookies in your browser and sends usage data to Google. We do not show a cookie banner. You can block these cookies in your browser settings or with a browser add-on.
We also use your browser’s localStorage to remember the items in your rental cart. This stays on your device and is not sent to us until you submit a form.
Where your information is stored and who sees it
Forms on this site are sent to Google Workspace (Google Apps Script and Google Sheets). Google and our other service providers may store or process data outside Canada, including in the United States, where different privacy laws apply.
We share information only with service providers that help us run the business, with insurers and authorities when required, or when you agree.
How long we keep it
We keep personal information only as long as needed for the purposes above and to meet legal and tax duties. [Retention period for enquiries: X months; for rental records: X years. To be confirmed by the owner and accountant.]
When it is no longer needed, we delete or anonymize it.
Your rights
You can ask to see the personal information we hold about you, correct it, withdraw your consent, or have it deleted where the law allows. Quebec residents may also have rights such as data portability and information about automated decisions (we do not use automated decision-making).
Write to our Privacy Officer: [Privacy Officer name], privacy@filmrental.ca or info@filmrental.ca. We will reply within the time set by law (generally 30 days).
Security, incidents and changes
We use reasonable safeguards, such as access limits and encrypted connections. No system is completely secure. If a privacy incident presents a risk of serious harm, we will notify the people affected and the authorities as required.
We may update this policy. The date at the top shows the latest version. You may also contact the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information.
